See how an agricultural company moved from basic GPS tracking and manual fuel records to a connected fleet management system — with automated reports, accounting integration, and a clearer view of field operations.
Challenge
Ukrainian agricultural company Zernosvit wanted a fleet management system that would digitalize its operations and provide clear, reliable data on:
- Fuel consumption
- The location and operating modes of agricultural machinery
- Fields where machinery was operating
- Specific tasks performed
- Operator identification
- Time spent on each operation
- Total costs for materials, lubricants, and mechanics’ wages
Before the project, fuel consumption and machinery operations were recorded manually. This made it difficult to track costs, manage resources, and access current data on fuel use, equipment activity, and maintenance requirements.
These processes also took considerable time and left room for human error. As the company’s operations grew, continuing to manage the data manually would have become increasingly difficult.
Solution
Working with Wialon partner GPS PRO, Zernosvit introduced a fleet management solution for agriculture. The project was carried out in four phases, each building on the previous one.
1. Basic tracking
Zernosvit’s vehicles already had GPS trackers installed, but they were used only to track location and could not provide the additional data the company required. Because Wialon supports hardware from different manufacturers, GPS PRO could connect the existing trackers and establish basic fleet visibility without replacing them at the outset.
2. Fleet and fuel management upgrade
Location data alone soon proved insufficient. Most vehicles had basic flow meters that did not transmit data automatically, so operators recorded fuel readings at the beginning and end of every shift and submitted paper forms to the logistics team. Diesel dispensed at the company’s own fuel station was also logged manually.
GPS PRO upgraded the system in several areas:
- Tracker upgrade: Modular Bitrek Connect trackers were installed to support more data sources and further system expansion.
- Flow meter integration: The basic meters were replaced with models that could transmit data to the monitoring system in real time.
- Fuel dispensing automation: An identification system was introduced at the company’s fuel station to automate fuel dispensing records.
- Fuel level monitoring: Level gauges were installed in the fuel tanks.
3. Data transfer to the accounting system
Once fleet data was being collected digitally, a Zernosvit employee verified it and GPS PRO’s application generated detailed reports on machinery activity and related expenses. But collecting data was only part of the task: the accounting team also needed accurate records of the materials and lubricants used in each operation.
GPS PRO therefore integrated the fleet data with Zernosvit’s accounting system. The partner reviewed the company’s existing setup and accounting processes, then prepared a step-by-step implementation plan. The work included:
- Preparing a technical brief for the accounting system developers
- Training employees after the integration
- Automating mechanics’ wage calculations based on completed work
4. Advanced fleet visibility
The final phase provided a more detailed view of day-to-day operations:
- Operator identification: Card readers were installed in vehicles to identify operators and link each operation to the person who performed it.
- Trailer and equipment identification: Wireless tags were installed on tractors, trailers, and other farm equipment, allowing the system to identify the equipment in use and the operation being performed.
Results
By introducing the system in phases, Zernosvit moved from fragmented manual records to a connected process for fleet control, reporting, and accounting.
Zernosvit can now review expenses quickly, receive next-day activity reports, and check current balances in real time. Wage calculations based on the type of work and recorded hours have also become much easier to manage.
The company can track who operated each vehicle, what work was performed, and how long each operation took. Wireless tags identify the trailers and other equipment in use, helping Zernosvit match machinery activity to specific agricultural tasks while reducing manual input and the risk of inaccurate records.
Fleet data is collected and processed automatically, and the resulting reports provide the logistics team with the information needed for accounting. This reduces repetitive administrative work and keeps operational and financial records connected.
